StaveFlow ("the app," "we," "us," or "our") is a music lesson management application used by music teachers and their students and families. This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
Account information
- Name and email address (for teachers and adult students)
- Role (teacher or student)
- Profile photo, if you choose to upload one
Family member information
- Name and profile photo of a child added by a parent or guardian
- Class enrollment and lesson history associated with that profile
Lesson and class content
- Lesson notes, including text, sketches, and staff notation created by teachers
- Photos, videos, and audio recordings uploaded to document lessons or repertoire
- Repertoire lists, badges, and progress tracking data
- Class rosters, invite codes, and enrollment records
Automatically collected information
- Basic app usage and diagnostic data used to maintain and improve the app
- Device information necessary for push notifications or app functionality, if applicable
How we use information
- To operate core features: class rosters, lesson scheduling, notes, and media sharing between teachers and students/families
- To authenticate accounts and secure access to class and student data
- To enable teachers to track student progress via badges and repertoire records
- To send account-related emails (password resets, email verification)
- To maintain and improve app reliability and performance
We do not sell personal information, and we do not use lesson content, photos, or student data for advertising purposes.
Children's privacy
StaveFlow's Family Member feature is designed so that a parent or guardian — not the child — creates and manages a child's profile, including their name and photo. Children join a class using an invite code provided by the teacher, which the parent or guardian typically facilitates.
If you are a parent or guardian and believe your child has provided personal information to us directly, or if you would like to review, update, or delete your child's information, please contact us using the information below.
Data retention and deletion
We retain account, class, and lesson data for as long as your account is active. Media uploaded to the app (photos, videos, and audio) is automatically removed after a limited retention period.
You may request deletion of your account and associated data at any time by contacting us using the information below.
Data security
We use industry-standard security practices, including encrypted data transmission and access controls, to protect your information. Firestore security rules restrict data access to authorized users only — for example, a student can only see their own lessons, and a teacher can only see students enrolled in their own classes.
Your choices
- You can update or delete your profile information within the app
- You can request a copy of your data or its deletion by contacting us
- Parents and guardians can request the same for a Family Member profile they manage
